This privacy policy explains how personal data is processed when you visit our website or contact us.
2. Website delivery and hosting
Our hosting provider is IONOS SE, Elgendorfer Straße 57, 56410 Montabaur, Germany. We use IONOS WordPress Unlimited. To deliver a website, the technical infrastructure processes the IP address, request time, requested pages and files, and browser and device information. Access data supports operation, error analysis and protection against misuse. IP addresses are anonymised in the access logs provided by IONOS.
Processing for secure and reliable website delivery is based on Article 6(1)(f) GDPR. Technical log data is retained for the relevant operational and security purposes and then deleted or anonymised. Longer retention may be necessary to investigate a security incident or meet legal obligations. Hosting providers act as processors under Article 28 GDPR.
3. Contact by email, telephone and form
When you contact us, we process the contact details you provide and the content of your enquiry. This allows us to respond, prepare a quotation or carry out an assignment. The legal basis is Article 6(1)(b) GDPR for contractual and pre-contractual enquiries; otherwise it is Article 6(1)(f) GDPR, based on our interest in responding to incoming enquiries.
Our enquiry form opens your email application with a prepared message. You decide whether to send it there. The form does not submit entries to a form server, store them permanently in your browser or maintain a separate form database. Only when you send the email do the email services involved and we process the message.
We retain messages for as long as necessary to respond to them and, where applicable, fulfil an order. Afterwards, we delete them unless statutory retention requirements or legitimate reasons, particularly the establishment or defence of legal claims, require otherwise. Business and accounting records are retained for the applicable statutory periods.
4. Audience measurement with Independent Analytics
Where Independent Analytics is used in our WordPress installation, it serves to analyse usage statistically and improve content and navigation. It operates without tracking cookies. Statistical data remains in our own WordPress database; it is not transferred to an external analytics server operated by the plugin provider.
According to the manufacturer, the IP address and browser information are processed together with a random value to calculate a hashed visitor identifier. The IP address is not stored in plain text in the analytics database. Depending on the available features, data collected includes page views, traffic sources, device and browser information, and approximate location. A hashed identifier does not guarantee complete anonymity.
Independent Analytics is only activated with your express consent. The legal basis is Article 6(1)(a) GDPR. You can withdraw your consent at any time using “Cookie settings” in the footer. Statistical data is retained only as long as required for this purpose, then deleted or aggregated into non-personal totals. Withdrawing consent stops future analytics for your browser. Processing carried out before withdrawal remains lawful.
5. Cookies, local files and external links
The design, animations and enquiry form on our publicly accessible pages do not set tracking or marketing cookies. Fonts, service images and animation libraries are loaded from our own website files. External links connect to the linked service only when you open them.
Logging into the WordPress administration area may involve technically necessary session and authentication cookies. These support the login you request and are not required to use the public pages. Further information is available under Cookie information.
Access to your device that is strictly necessary for an expressly requested function is governed by Section 25(2) TDDDG. Any storage or access beyond this requires your prior consent under Section 25(1) TDDDG where required by law.
6. Recipients and security
Data is shared only with people and service providers who need it for the relevant purpose, particularly hosting and communication providers. Disclosure may also be necessary to perform a contract, protect legal claims or comply with legal obligations. Processors may handle data only on our instructions. The published website uses an encrypted HTTPS connection. Standard email communication cannot guarantee complete protection against access by third parties.
7. Your data protection rights
Under the GDPR, you have rights of access (Article 15), rectification (Article 16), erasure (Article 17), restriction of processing (Article 18) and data portability (Article 20). You may withdraw consent at any time with effect for the future; this does not affect the lawfulness of processing before withdrawal.
For processing based on Article 6(1)(f) GDPR, you may object under Article 21 GDPR on grounds relating to your particular situation. To exercise your rights, contact us at info@hsgruppe.com.
Under Article 77 GDPR, you may lodge a complaint with a data protection supervisory authority. The authority responsible for North Rhine-Westphalia is the State Commissioner for Data Protection and Freedom of Information North Rhine-Westphalia, Kavalleriestraße 2–4, 40213 Düsseldorf.
